Refund and Cancellation Policy
This policy explains how you can cancel a VisaFlow subscription and how refunds are calculated. In short: you can cancel at any time, and if you cancel a paid plan we refund the days you have not used.
1. Free trial
Every new workspace starts with a 14-day free trial. No card is needed and nothing is charged during the trial. If you do not choose a plan, the trial simply ends; there is nothing to cancel or refund.
2. How to cancel
- Workspace owners can cancel at any time from Settings → Billing in their workspace.
- You can also cancel by writing to support@visaflow.work from the email address of the workspace owner, with your workspace name.
- Cancelling stops all future renewals. No further charges are made after cancellation.
3. Refunds for unused days
When you cancel a paid plan and ask for a refund, we refund the unused days of your current billing period, for both monthly and yearly plans. The refund is calculated as:
Refund = amount paid for the period × (unused days ÷ total days in the period)
- Unused days are counted from the day after we receive your cancellation request to the end of the paid period. Partial days are not refunded.
- Example: you pay ₹14,999 for a 30-day monthly period and cancel after 10 days. 20 days are unused, so we refund ₹14,999 × 20 ÷ 30 = ₹9,999.
- Paid add-ons (extra seats, message packs) for the same period are refunded on the same basis.
- Any discount or coupon applied to the payment is taken into account: we refund a share of the amount you actually paid.
- GST charged on the refunded amount is refunded with it, and we issue a credit note for the refund.
- When a refund is issued, access to paid features ends on the day the cancellation takes effect. Your data stays available for export as described in our Terms of Service.
4. When the period ends instead
If you cancel without asking for a refund, your plan stays active until the end of the period you have paid for and is not renewed. You can ask for the pro-rata refund at any time before that date.
5. Plan changes
- Upgrades take effect immediately. The unused value of your current plan is credited against the new plan, and you pay only the difference.
- Downgrades take effect at your next renewal date; there is no refund for the remaining days on the higher plan.
6. Duplicate or failed payments
If you were charged twice for the same invoice, or money was debited but the payment failed, we refund the full extra amount. Write to us with the payment reference if it has not reached you automatically.
7. How refunds are paid
- Refunds go back to the original payment method (UPI, card, net banking or wallet) through our payment provider, Razorpay.
- We start the refund within 5 working days of your cancellation request. Your bank or card issuer usually credits it within 5 to 7 working days after that.
- We will email you when the refund is processed, with the refund amount and the credit note.
8. Payments to consultancies
Payments that applicants make to a visa consultancy through VisaFlow (for example through a payment link or the applicant portal) are paid to that consultancy, not to VisaFlow. Refunds of those payments are decided by the consultancy under its own policy; please contact the consultancy directly.
